3. Name of data file and data subject group

Register of customers and other stakeholders of Bauer Solutions Ltd. The register is sorted according to enterprises or individuals that serve as a customer or as other stakeholders. This information generally includes details of a business representative, such as a name and contact information. 

The customers group includes information on Bauer Solutions Ltd customers and customer representatives, and details of potential customers. The other stakeholders group includes information on representatives of other partners of Bauer Solutions Ltd. 

4. Purpose and legal basis of personal data processing

The personal data of representatives of potential customers, existing customers, customer representatives and representatives of other stakeholders are processed for the following purposes. 

• provision of services
• relationship creation and registration
• relationship management and development, and maintaining of contact
• supply and invoicing of products and services
• business and service development and planning
• marketing of company products and events
• opinion and market research, and surveys
• processing of comments and complaints

Processing of personal data is based on the person’s consent, on a legitimate interest based on the discharge of business-related functions, or processing is necessary for performing an agreement to which the person is a party, or for performing measures prior to concluding an agreement at the person’s request. Personal data may also be processed in order to comply with a statutory obligation. 

5. Personal data to be processed and data sources

The following information concerning individuals is gathered and processed. 

• the name of the person
• the role of the person
• contact information: e-mail address, telephone number, invoicing and delivery address
• information on customer comments and complaints
• messages, such as letters, e-mails and text messages
• the name and business ID of a business represented

The personal data are gathered from the individual in person, or from the business that the said person represents. Details of a business are also gathered and obtained from various contact partners and marketing databases, which may contain personal data of a business representative, such as a telephone number. 

6. Data file protection

All registers are protected by appropriate technical and organisational means. Register data are stored in secure server facilities in accordance with general business practices. The register may only be accessed by individuals who need information in their working duties or in maintaining the register. These individuals have personal usernames and passwords. 

Manual material 

All manually processed materials are stored in locked premises. 

7. Regular releases of data

No data are released. 

8. Transfer of personal data to third countries

No data are released or transferred to parties outside of the European Union or the European Economic Area. 

9. Criteria for determining the personal data retention period

Bauer Solutions Ltd retains personal data to discharge the purposes specified in this privacy statement. The data are accordingly retained for the period of discharging these purposes. Unnecessary and outdated information is deleted. 

10. Rights of a data subject

Data subjects, meaning individuals whose personal data are processed, have rights under the General Data Protection Regulation (EU) 2016/679 (hereinafter referred to as GDPR) regarding the processing of their personal data. GDPR provides that a data subject has: 

• the right to obtain confirmation as to whether or not personal data concerning him or her are being processed, and access to such data
• the right to require rectification of incorrect and inaccurate personal data, and to have incomplete personal data completed
• the right to restriction of processing
• the right to withdraw consent
• the right to deletion of data
• the right to prohibit use of data for direct marketing purposes.

11. Right of complaint to the Data Protection Ombudsman
